Job Description:

JOB TITLE: Human Resources Administrative Assistant

DEPARTMENT: Distribution Center

REPORTS TO: Human Resources Manager

SUPERVISES: Direct Reports: None

Indirect Reports: None

General Summary:

Part time HR Admin works as an integral part of the Human Resources Department providing assistance to associates in HR related matters. Works closely with Distribution Center Managers to ensure records and pay rates are correctly applied and maintained.

Qualifications/Basic Job Requirements:

High school diploma or equivalent required. Thee years administrative office experience required. PHR certification or equivalent preferred. Previous Human Resources experience preferred. Must be able to handle multiple tasks and work well under pressure.

Essential Job Functions:

• Recruiting & Hiring

  1. Create/post all internal job openings and setup job files

  2. Review internal candidates from job posting and advise managers of all interested candidates

  3. Handle pre-employment drug testing

  4. Do GIS background checks

  5. Create new hire packages

  6. Conduct reference checks on all new hires

  7. Create new associates files

  8. Monitor completion of new hire paperwork, forward to appropriate areas

  9. Create attendance work sheets for all new hires

  10. Enter new hires into “Personal Time” database

  11. Order badges

  12. Advise managers of new hire start dates

  13. Complete and maintain I9 forms

  14. Maintain New Hire Termination, Transfer, and Demotion logs

  15. Conduct New Employee Orientation Program

• Data Entry/Lawson Changes

  1. Enter all new hires into system

  2. Enter all “No Starts” (candidates who accept offer who are no show)

  3. Make address changes, terminations, shift/department changes, reviews, & pay rates, in system 4. Resolve badge problems and request new badges

• Kronos (Payroll)

  1. Audit payroll

  2. Resolve payroll problems

  3. Sort and distribute checks

  4. Make sure all associates sign for their checks

• Distribution Center Activities

  1. Assist associate with HR issues and/or direct to appropriate individual

• Evaluations

  1. Distribute 30/60/90 and annual evaluations to managers and monitor due dates

  2. Input evaluations into system

• Attendance Tracking

  1. Track personal time, tardies, vacation, and floating holidays for all hourly associates

  2. Maintain attendance record for all hourly associates

  3. Monitor attendance and complete and distribute counseling forms to managers

• Administrative Backup

  1. In the absence of the AHRM’s, act as backup

  2. In the absence of the General Manager’s Administrative Assistant, act as backup
